From paper and a wall board to a digital transport operation.
Nine trucks, supermarket deliveries and Humber port collections, all run from paper and a wall board until September 2025. A year on, Eduard Driving Ltd averages 220 orders a month through HaulierMagic, up from 80 in its first months on the platform.
Nine trucks moving supermarket and port work across the UK.
Eduard Driving Ltd is a nine-truck haulage business based in Doncaster, South Yorkshire. Its work is a mix of palletised store deliveries into UK supermarkets on behalf of European shippers, full-trailer contract runs, and collections from the Humber ports: nearly nine in ten of the company’s collections start at a UK port, most of them Immingham.
The operation runs deliberately lean. A single office handles everything between a booking and a paid invoice: planning, dispatch, driver communication, proof of delivery and billing. That structure keeps overheads low, and it makes the systems behind the office matter more than they would anywhere else.
Paper, a wall board, and a good memory.
Before HaulierMagic there was no system to speak of. Every job was written down on paper. Holidays, inspections and PMIs went up on a wall board, and everything else was carried from memory. When something slipped, the first the office heard of it was the customer on the phone, asking when the truck was coming to collect.
- Jobs run from memory Paper notes and a wall board held the plan. A forgotten job surfaced only when the client rang to ask where the truck was.
- Walkaround checks in a notebook Drivers wrote their daily checks on paper, when they remembered. Missed checks came to light two or three weeks later, when it was already too late.
- PODs buried in the files Finding one delivery note meant 45 minutes going through the months by hand. One lost original cost the full price of the job: the client wanted the original, and it was gone.
- The risk of missed invoicing The company’s biggest customer changes jobs daily and never chases a missing invoice. On paper, work that slipped through simply went unbilled.
The driver lost the paperwork. The client wanted the original, and honestly, we never got paid for that job. I had no backup plan for him.
A system shaped around the business.
Eduard Driving evaluated three transport management systems at a trade exhibition. One was clearly built and sold for much larger fleets; another looked more complicated than the processes it would be replacing. HaulierMagic demonstrated the product in full and answered the question that mattered most for a business moving off paper for the first time: the transition would be supported end to end by a dedicated onboarding team.
What confirmed the decision was how the platform was set up. Rather than a fixed template every operator has to fit into, HaulierMagic was set up around Eduard Driving’s own customers and invoicing process during onboarding.
It is not one basic platform that everyone works on. The platform adapts to my company. I did not have to adapt to them.
Hands-on support through the transition.
Moving a business from paper to a TMS is a genuine change of working, and HaulierMagic structured the onboarding around it. Support ran at the pace the business needed, then stepped back as confidence grew:
-
Daily sessions
A call every working day through the first month, extended whenever more time was needed.
-
Every few days
Sessions stepped down to every two or three days as the office took over.
-
Ongoing support
Queries raised by email are answered the next day, with a fix or a video walkthrough.
Running alongside: HaulierMagic is integrated with QuickBooks as part of Eduard Driving’s invoicing and accounts process. The business kept the accounts setup it already had: invoices raised in the platform feed through to it, so moving to a TMS did not mean changing accounting package or accountant.
They said we would meet for half an hour, but they never said your time is up. Without that, it would have taken me three months to learn instead of a month and a half.
Drivers adopted the mobile app within two to three days. Work assigned the evening before is on each driver’s phone before the day starts, so a 5am departure leaves with the full job details already in hand.
A POD from months ago, found in five minutes.
Supermarket work is document-heavy: a single store delivery can carry 15 to 20 POD files, one per pallet, and job references change from week to week. In HaulierMagic, each file is captured against its job by the driver, and any job can be found by whichever identifier the customer uses: reference number, trailer number, delivery address or date.
That changes the moments that used to eat the working day. When a customer recently asked for a POD from a delivery made months earlier, it was found, downloaded and emailed in around five minutes. The paper routine for the same request was 45 minutes in the filing, working back month by month.
A client asked me for a POD from April. I searched the job, found the POD and emailed it back. Five minutes and done. On paper it would have taken me 45 minutes in the files, maybe more.
Invoicing keeps the same pace. Completed jobs are already in the system with their documents attached, so invoices go out by the day rather than at the end of a paperwork week, and finished work no longer waits in a pile for a reminder that never comes.
More work moving through the operation.
The clearest measure of the change is monthly volume: the company’s first months on HaulierMagic against recent months.
Figures taken from HaulierMagic production data.
The shape of the growth is seasonal, quieter over the winter and strongest through the spring, and the platform absorbed all of it without any change to the office.
Since go-live the company has processed 1,581 orders, captured 4,489 POD files against them, and billed completed work through consolidated invoices averaging 6.7 jobs each.
It is good to get more work, but I still need the time to invoice it, check it has been paid, keep everything tracked. HaulierMagic helped me increase the volume of work.
After years on paper and a year on HaulierMagic.
Eduard Driving’s owner has run the business on both, and his position on the old process is settled:
I cannot see a way of going back to paperwork.
9 /10 Owner’s recommendation score
For operators weighing the same move, his advice is straightforward.
Do not think about the money. Believe me, you are going to lose more with other things than what you pay at the beginning. It was a good investment. If I was starting again, I would choose the same thing.
When we signed our biggest client last year, if I had still been on paperwork, honestly, I would have missed jobs and missed payments. I could not have done it without HaulierMagic.
